As school counselors, social workers, and psychologists working on the ground, you’re best positioned to refer students for additional services. After you submit a referral, you want to know what’s happening with their care so you can continue to support them at school. We've made a number of recent updates to increase visibility and keep you in-the-know about student care journeys, so you’re never left wondering “what happened?” after you make a referral.
With these updates, our school partners:
- Get emails to their inbox, and more details in the Portal, about student progress through their care journey
- See which students are at risk of not getting through care so our school partners can take proactive, supportive action to increase the likelihood they’ll participate and complete their recommended treatment.
Easy-to-digest student summary info on the Portal homepage
Now on the Portal, our school partners see “at a glance” summary information about their students, including:
- Which families we're having a hard time reaching
- Students who missed appointments in the last 10 days
- Students who completed sessions in the last 10 days
- Students who are nearing graduation from Cartwheel soon
>> Use this information to reach out to and support students and families, as well as celebrate and recognize students’ participation in care.
Resource Center and contact information on the Portal homepage
Find helpful resources and contact Cartwheel team members who are here to help. Now, from the Portal homepage Resource Center, our school partners can access:
- Cartwheel overview flyers to explain our services to school staff and families
- Referral guidelines to help you determine whether or not to refer to Cartwheel
- Other helpful documents including FAQs and our new Outreach Procedures Guide
- Contact information for your district's Program Manager and our Care Coordination team, who helps get families into care

Emails to keep you informed along each student’s care journey
We’ve updated emails so that you have more consistent communication along each student’s care journey. These new emails include:
- When we're having a hard time reaching a family, so that you can be involved sooner
- Before we'll be ending outreach to a family
- After an intake has been scheduled
- After an intake session has taken place, introducing you to the clinician and inviting you to connect
- When a student has been reassigned to a new clinician
- When graduation is approaching, so you can discuss the transition plan with their clinician
>> Use this information to support students after referral and throughout treatment, and collaborate with Cartwheel clinicians.
Other Portal updates to keep you in-the-know
We’ve also added more details in the Portal so that you can look up additional details about each student’s care journey, including:
- Visibility into a student’s next appointment, viewable from their student profile
- More details in the “Recent Activity” section of each student profile
- Clearer Portal status names and definitions (just hover over a student status!)
